Privacy Policy: Belgium

This Policy explains how REXOR GROUP LLC, which operates the brand Lodgeyard, processes personal data in connection with the Belgian versions of lodgeyard.com, its chat window, its quote requests, its business prospection and its contracts with professional customers in Belgium: which data, why, on what legal basis, with whom, where, for how long, and how to exercise your rights. Version 1.1 of 28 October 2026.

In short: we use the information in your request to study your project and answer you. We do not sell or rent your data. You may ask us at any time to access, correct or erase them, and you may object at any time, without giving reasons, to our prospection messages.

Language versions: this Policy is published in English, French and Dutch. The three versions have the same content; if a discrepancy appears between them, the version most favourable to the data subject applies. Other legal documents: legal information for Belgium.

Article 1. Purpose, scope and legal framework

1.1. This Policy provides the information required by Articles 12, 13 and 14 of Regulation (EU) 2016/679 of 27 April 2016 (the General Data Protection Regulation, "GDPR").

1.2. It applies to the processing of personal data carried out by the Company in connection with the Belgian versions of the website lodgeyard.com (in English, French and Dutch), with the chat window displayed on those pages, with requests for quotes, with e-mail correspondence, with business prospection addressed to establishments in Belgium and with the performance of contracts with professional customers in Belgium.

1.3. The Company is not established in the European Union. The GDPR applies to the processing described in this Policy under its Article 3(2), since that processing relates to the offering of goods to persons in the Union.

1.4. The use of cookies and similar technologies is also governed by Article 10/2 of the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data, and the sending of electronic advertising by Article XII.13 of the Belgian Code of Economic Law and by the Royal Decree of 4 April 2003 regulating the sending of advertising by electronic mail.

1.5. Our offer is addressed to professionals. The GDPR nevertheless protects the natural persons who act for them, such as the manager or an employee of a campsite, and this Policy applies to them in full.

1.6. This Policy does not apply to third-party websites to which our pages link, nor to the processing carried out by the Partner Installer, the Customs Representative or the Manufacturer for their own purposes.

Article 2. Definitions

2.1. The terms "personal data", "processing", "controller", "processor", "recipient", "third party", "consent" and "personal data breach" have the meaning given to them by Article 4 of the GDPR.

2.2. In this Policy:

Article 3. Controller

3.1. The controller is REXOR GROUP LLC, a limited liability company registered in the State of New Mexico (United States of America), 8206 Louisiana Blvd NE, Ste A #9493, Albuquerque, NM 87113, USA. Lodgeyard is a brand of REXOR GROUP LLC.

3.2. The Company determines the purposes and means of the processing described in this Policy. The Partner Installer, the Customs Representative and the banks determine their own purposes and means for the processing they carry out for their own account, and answer for it.

3.3. For any question about this Policy or about your data, write to contact@lodgeyard.com, or by post to the address above.

Article 4. Representative in the Union and data protection officer

4.1. Where Article 27 of the GDPR requires the Company to designate a representative in the Union, the name and contact details of that representative are published in this Article as soon as the designation takes effect, and are communicated on request. In all cases, you may address any request directly to the Company at contact@lodgeyard.com.

4.2. As the Company has no establishment in the Union, it does not benefit from the one-stop-shop mechanism of Article 56 of the GDPR. The Belgian Data Protection Authority is competent for the processing concerning persons in Belgium, without prejudice to the competence of the other supervisory authorities of the Union.

4.3. The Company has not designated a data protection officer, as its activities do not fall within the cases in which Article 37 of the GDPR requires one. Questions are handled at the address given in Article 3.3.

Article 5. Data subjects and sources of the data

5.1. This Policy concerns: visitors to the Website; persons who send a quote request or write to us; users of the Chat Window; the contact persons of the establishments to which we write first; and the contact persons, representatives and staff of our customers.

5.2. Depending on the case, the data processed belong to the following categories: identification data (surname, first name, position); contact data (e-mail address, telephone number); professional data (establishment, company name, enterprise number, value added tax and EORI numbers, address of the site); data describing your project; the content of our exchanges and of the conversations in the Chat Window; contractual, delivery and payment data; technical data (IP address, encrypted fingerprint of the IP address, country and language versions of the Website).

5.3. We collect the data directly from you, except in two cases: the general e-mail address of an establishment, which we obtain from that establishment's own website or from an official open list, such as that of Toerisme Vlaanderen (Article 9); and the data of the contact persons of a customer, which that customer communicates to us for the performance of the contract (Article 10).

Article 6. When you browse the website

6.1. To display the pages and protect the Website, our hosting provider necessarily processes technical data, in particular your IP address and the data of your browser's request. We do not use those data to identify you.

6.2. To direct you to the version of the Website for your country, we use the country of your connection, as determined by our hosting provider from your IP address, and the preferred language of your browser. That country is neither recorded nor kept. If you choose a country or a language yourself, a functional cookie retains that choice, as described in our Cookie Policy.

6.3. The technical data referred to in Article 6.1 are processed by our hosting provider, as processor, for the delivery of the pages, the routing of requests and the protection of the Website against attacks and abuse. Apart from the cases described in this Policy, we do not use them for any other purpose and we do not combine them with other data.

6.4. We measure the audience of the Website without cookies and without identifiers: page views are counted in aggregate, without following a person from one visit to the next.

6.5. The Website contains no social network plug-ins and no advertising modules, and it does not share your browsing data with advertising networks.

6.6. Our pages contain links to official sources and other third-party websites. If you follow such a link, the third-party website processes your data under its own responsibility and its own policy.

Article 7. When you request a quote or write to us

7.1. We process the data you enter in the Quote Form:

7.2. We also record the language and country version of the Website from which you send the request and, if you have chosen a version yourself, that choice. We then process the content of our e-mail exchanges.

7.3. To limit abuse of the Quote Form, our hosting provider counts the submissions made from each IP address for one minute; that address is not kept.

7.4. We use the data of the Quote Form only to study your project, to prepare your quote and to follow up on your request. We do not add them to our prospection list.

7.5. The fields not marked as optional are necessary: without them, we cannot prepare a quote.

7.6. When you write to us by e-mail, including at contact@lodgeyard.com, we process your e-mail address, your name, the content of your message and its attachments, and our replies. Artificial-intelligence service providers may assist us in drafting and sorting that correspondence, as processors, under the conditions of Article 15. The retention periods of Article 17 apply to that correspondence.

Article 8. When you use the chat window

8.1. The chat window on our pages puts you in contact with an AI advisor: an artificial-intelligence system, not a person. The window says so.

8.2. We process:

8.3. If you ask to speak to a person or leave your contact details, the Lodgeyard team receives your contact details and the transcript of the conversation through the internal messaging service of the team, in order to reply to you.

8.4. The encrypted fingerprint of the IP address is used to limit the number of messages that can be sent per visitor within a given period and to block abusive use. It does not allow us to identify you.

8.5. The conversations may be read by the Lodgeyard team in order to check the accuracy and quality of the answers given, to correct the information provided where necessary and to follow up on your request.

8.6. The chat window is displayed from rexorcloser.com, a domain operated by the Company for that purpose. It places no cookie and keeps no messages in your browser. Nothing is written in your browser before you open the window by clicking on it; it then keeps its settings and interface texts in session storage, deleted when the tab is closed. Once you have sent a first message, it also keeps the identifier of your conversation in local storage, on lodgeyard.com and on rexorcloser.com, for 12 months after your last message, as long as the conversation itself is kept, so that the conversation can pick up where it left off when you come back. This identifier is used for nothing else: no advertising, no tracking from one website to another. You can also erase it from the chat window, with the "New conversation" link. These operations are described in our Cookie Policy.

8.7. Please do not enter in the chat window any sensitive data, any data relating to third parties, or any banking or identity data. The Chat Window never asks for them.

Article 9. When we write to you first

9.1. We may present our offer to professionals of camping and tourism in Belgium. If we write to you without a request on your part, we use the name of your establishment and the general e-mail address that your establishment publishes on its website or that appears in an official open list, such as that of Toerisme Vlaanderen.

9.2. We write only to impersonal addresses of establishments operated by legal persons (info@, reception@ and similar), never to a personal or named address, and never to an establishment operated by a natural person. This is the exception to prior consent provided for by Article 1, 2°, of the Royal Decree of 4 April 2003.

9.3. We process only: the name and municipality of the establishment; the impersonal e-mail address and its source; the legal form of the operator; the dates of our messages; and, where applicable, your reply or your objection.

9.4. We do not guess addresses, we do not buy lists and we do not have addresses enriched by third parties. We do not use the list for any purpose other than the presentation of our offer described in this Article.

9.5. The data of the establishments are not used to build profiles and are not combined with other sources.

9.6. We send two messages at most: a first message and a single follow-up. Each message identifies the Company as the advertiser and states how to object.

9.7. Our first message gives you the information required by Article 14 of the GDPR, including the source of your address, and presents your right to object separately and clearly. Any reply refusing our messages ends the sending immediately.

Article 10. When you become a customer

10.1. For the preparation and performance of the contract, we process: the identity, position and contact details of the customer's contact persons and representatives; the company data of the customer (company name, enterprise number, value added tax identification number, EORI number, registered office); the address of the site; the data relating to the order, the manufacture, the inspection, the delivery and any reservations or notifications of lack of conformity, including photographs; the references of the payments received; and our correspondence.

10.2. To prepare and perform your turnkey quote, we also communicate your contact details and the address of your site to the Partner Installer named in the quote and, for customs clearance, your company name and your EORI and value added tax numbers to the Customs Representative acting in your name. Those undertakings process those data for their own contract with you.

10.3. We never collect payment card data. Payments are made only by bank transfer, and we receive only the information appearing on our bank statements (name of the payer, amount, reference).

10.4. To obtain prices, we communicate to manufacturers the technical characteristics of your project, without your contact details.

Article 11. Purposes and legal bases

11.1. We process your data only for the following purposes, on the following legal bases (Article 6(1) of the GDPR):

PurposeLegal basis
Studying your project, preparing a quote and answering you, including in the Chat WindowPre-contractual measures taken at your request (Article 6(1)(b)) where you act in your own name; where you act on behalf of an establishment, our legitimate interest in answering it (Article 6(1)(f))

Establishing, exercising or defending legal claimsOur legitimate interest (Article 6(1)(f))

11.2. If we intend to process your data for a purpose other than those set out above, we inform you of that purpose beforehand, in accordance with Article 13(3) of the GDPR.

11.3. We do not process your data for purposes incompatible with those set out above. We do not process special categories of data within the meaning of Article 9 of the GDPR, and we ask you not to communicate any.

Article 12. Legitimate interests

12.1. Where we rely on our legitimate interest, we have weighed it against your interests and rights. For prospection, that assessment led to the limits set out in Article 9: impersonal addresses of legal persons only, a published or official source, two messages at most, an objection that is easy and free, and the deletion of addresses that do not reply.

12.2. Our other legitimate interests are the following: answering establishments that contact us and performing the contracts concluded with our customers, which requires processing the data of their contact persons; protecting the Website, the Quote Form and the Chat Window against automated submissions and abuse; checking that the information given by the Chat Window is accurate; keeping the evidence of our contracts and correspondence for the period during which a claim may be brought. In each case, we process only the data necessary for that purpose and for a limited period.

12.3. You may obtain information on that balancing exercise by writing to contact@lodgeyard.com. You may object at any time to processing based on our legitimate interest, in accordance with Article 19.

Article 13. Mandatory and optional data

13.1. Providing data is not a statutory obligation. The fields of the Quote Form not marked as optional, and the data needed for the contract and customs clearance (in particular the EORI and value added tax numbers), are necessary to prepare a quote or perform the contract. Without them, we cannot do so.

13.2. Leaving your contact details in the Chat Window is optional. If you do not leave them, the conversation continues, but the team cannot reply to you outside the chat window.

13.3. Optional fields, such as your telephone number or the description of your project, allow us to answer you more precisely. Not filling them in has no other consequence.

Article 14. No automated decision-making

14.1. No decision producing legal effects concerning you or similarly significantly affecting you is taken on the sole basis of automated processing, within the meaning of Article 22 of the GDPR.

14.2. The Chat Window may make mistakes. For any point that matters to your decision, ask the team to confirm it in writing; the written quote is the reference.

14.3. The answers of the Chat Window are generated automatically to inform you. They do not bind the Company, and only the written quote does so, in accordance with our Terms of Sale.

Article 15. Recipients

15.1. Your data are processed by REXOR GROUP LLC and by its technical service providers acting on its instructions as processors, within the meaning of Article 28 of the GDPR. They belong to the following categories:

15.2. Our processors may use sub-processors only under the conditions of Article 28 of the GDPR, under obligations equivalent to their own.

15.3. Within the Company, the data are accessible only to the persons who need them for the purposes described in this Policy.

15.4. The list of our processors, with their names and countries, is available on request at contact@lodgeyard.com.

15.5. The following also receive data, as independent controllers and only to the extent necessary: the Partner Installer named in the quote and the Customs Representative acting in your name (Article 10.2); the banks involved in the transfers; and, where the law requires it, the competent judicial or administrative authorities.

15.6. Manufacturers receive the technical characteristics of your project, without your contact details.

15.7. Your data are neither sold nor rented.

Article 16. Processing outside the European Union

16.1. Your data are processed outside the European Union:

16.2. The Philippines are not covered by an adequacy decision of the European Commission.

16.3. The transfers to our service providers are governed by the standard contractual clauses adopted by the European Commission (Implementing Decision (EU) 2021/914 of 4 June 2021) and, for our hosting provider, by the EU-U.S. Data Privacy Framework (Implementing Decision (EU) 2023/1795 of 10 July 2023).

16.4. Wherever your data are processed, the Company applies to them the protection described in this Policy, and the GDPR continues to apply to its processing in accordance with Article 1.3.

16.5. The standard contractual clauses are contractual commitments by which the recipient of the data undertakes to apply safeguards equivalent to those of the GDPR and to grant data subjects enforceable rights. The Data Privacy Framework is the mechanism under which the European Commission has found that certified organisations in the United States ensure an adequate level of protection.

16.6. You may obtain a copy of those safeguards by writing to contact@lodgeyard.com. Commercially sensitive passages may be removed from that copy.

Article 17. Retention periods

17.1. We keep your data only for as long as is necessary for the purposes for which they are processed:

DataRetention period

Country of connection used to direct you to your version of the WebsiteNot recorded

17.2. The Partner Installer and the Customs Representative determine the retention periods of the data they process for their own contract with you.

17.3. At the end of these periods, the data are erased or irreversibly anonymised, unless they are needed to establish, exercise or defend a legal claim, in which case they are kept for the duration of the proceedings and of the applicable limitation periods.

Article 18. Security

18.1. We implement technical and organisational measures appropriate to the risk, within the meaning of Article 32 of the GDPR, in particular encrypted connections to the Website, the limitation of access to the persons who need it, rules limiting abuse of the forms and of the Chat Window, and the replacement of IP addresses by an encrypted fingerprint.

18.2. These measures are reviewed when our processing or our service providers change, and whenever a security assessment reveals a weakness.

18.3. Our processors are bound by contractual obligations of confidentiality and security.

18.4. We never ask you, by e-mail, by telephone or in the Chat Window, for a password, payment card data or identity documents, and we never announce a change of our bank details by simple message. Any such request must be regarded as fraudulent and reported to contact@lodgeyard.com.

18.5. In the event of a personal data breach, we notify the competent supervisory authority and, where required, the data subjects, under the conditions of Articles 33 and 34 of the GDPR.

Article 19. Your rights

19.1. Under the conditions of Articles 15 to 21 of the GDPR, you have the right:

19.2. In particular:

19.3. These rights belong to you as a natural person, including where you act on behalf of an establishment or a company.

19.4. Where a processing is based on your consent, you may withdraw it at any time, without affecting the lawfulness of the processing carried out before the withdrawal.

Article 20. How to exercise your rights

20.1. To exercise your rights, write to contact@lodgeyard.com, or by post to the address in Article 3.1. Your request may be written in English, French or Dutch.

20.2. We answer within one month of receipt of the request. That period may be extended by two months where necessary, taking into account the complexity and number of requests; we then inform you within the first month.

20.3. If we have reasonable doubts as to your identity, we may ask you for the information necessary to confirm it, without asking for more than is needed.

20.4. Where we rectify or erase your data or restrict their processing at your request, we inform the recipients to whom they have been disclosed, unless this proves impossible or involves disproportionate effort, and we tell you who those recipients are if you so request (Article 19 of the GDPR).

20.5. If we do not act on your request, we inform you of the reasons within the time limits of Article 20.2, and of your right to lodge a complaint and to seek a judicial remedy.

20.6. Exercising your rights is free of charge, unless a request is manifestly unfounded or excessive, in which case Article 12(5) of the GDPR applies.

Article 21. Objecting to prospection

21.1. You may at any time, without giving reasons and free of charge, refuse to receive our prospection messages:

21.2. Any reply refusing our messages is treated as an objection. You receive a confirmation within 48 hours, without commercial content.

21.3. Your objection to prospection does not prevent you from contacting us later. If you do so, we answer your request; we do not resume prospection.

21.4. We then keep your address in an opposition list, which serves only to ensure that we no longer write to you, for as long as we carry out prospection in Belgium and at least three years.

Article 22. Complaints

22.1. If you consider that your rights are not respected, you may lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit), Rue de la Presse 35 / Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be, autoriteprotectiondonnees.be or gegevensbeschermingsautoriteit.be. That Authority accepts complaints in French, Dutch or German.

22.2. You may also lodge a complaint with the supervisory authority of the Member State of your habitual residence or place of work, or of the place of the alleged infringement (Article 77 of the GDPR), and bring proceedings before the competent courts (Article 79 of the GDPR).

22.3. The Belgian Data Protection Authority generally expects a complainant to have first exercised his or her rights with the controller and to attach the exchanges with the controller to the complaint.

22.4. We invite you to contact us first at contact@lodgeyard.com, so that we can try to resolve the matter.

Article 23. Cookies and similar technologies

23.1. The Website places no audience-measurement or advertising cookies. It uses only the technologies described in our Cookie Policy: a functional cookie "pays" that retains, for 12 months, the country or language you have chosen yourself; a technical cookie that our hosting provider may place, strictly necessary for the security of the Website; the session storage of the Chat Window, used only after you have opened it and deleted when the tab is closed; and the local storage in which the Chat Window keeps, from your first message, the identifier of your conversation, for 12 months after your last message, so that the conversation can pick up where it left off when you come back.

23.2. You can delete those cookies and that storage at any time through the settings of your browser. The Website then works normally, but it no longer remembers your choice of country or language, and the conversation no longer resumes automatically when you come back. The conversation itself is kept for the period set out in Article 17, and you can ask us to delete it.

Article 24. Minors and data of third parties

24.1. The Website is intended for professionals. It is not directed at minors, and we do not knowingly collect their data.

24.2. If you believe that we hold data concerning a minor, please write to contact@lodgeyard.com; we will erase them, unless a legal obligation requires us to keep them.

24.3. If you communicate to us the data of another person, such as a colleague, you undertake to inform that person of this Policy.

Article 25. Changes to this Policy

25.1. We may amend this Policy to reflect a change in our processing or in the law. The version in force is the one published on the Website, with its version number and date. Where a change materially affects the processing of your data, we inform you by appropriate means before it applies.

25.2. Previous versions of this Policy are available on request at contact@lodgeyard.com.

25.3. This Policy replaces, for the Belgian versions of the Website, the privacy information previously published on the Website. Version 1.1 of 28 October 2026.
